ESS - Starter Guide - Setting up Say Hai

Say Hai is an AI assistant in ESS that enables employees to interact naturally about schedules, leave, and preferences, respecting existing user rights. Proper permissions must be assigned before use. Employees should be informed about its possibilities and data handling. Say Hai ensures privacy and security by operating within ESS boundaries and using existing authentication. It is accessible in ESS7 and the mobile app, with ongoing improvements based on user feedback.

Introduction

Say Hai is the AI assistant within ESS that allows employees to communicate naturally about their schedule, leave, work preferences, and other ESS functionalities.

Instead of navigating through screens and menus, employees can simply ask questions such as:

  • "When am I working next week?"
  • "How many leave hours do I have left?"
  • "Submit a leave request for next Friday."
  • "What work preferences do I have open?"

Step 1: Grant users access to Say Hai

Before employees can use Say Hai, the appropriate ESS permission must be assigned.

The assistant always respects the existing authorizations within ESS. Employees can only request information and perform actions for which they already have rights. Therefore, we recommend also assigning these permissions:

  • View work schedule
  • View and manage work preferences
  • View leave requests
  • Request and withdraw leave
  • View holidays
  • View balance and card information
  • Record actuals (if used within the organization)

Users only see functionalities for which they are authorized within ESS.


Step 2: Inform Your Employees

A successful introduction starts with good communication. Make sure employees understand:

  • What Say Hai is
  • What questions they can ask
  • What actions they can perform
  • How data is processed
  • Where they can provide feedback

Step 3: Going Live

Once the necessary rights are set up and employees are informed, users can start right away. Say Hai is available both on ESS Web (bottom left) and the ESS mobile app (bottom right).


Privacy & Security

Security and privacy have been integrated into Say Hai from the design stage. The assistant operates exclusively within the security boundaries of ESS and has no direct access to databases.

  • Existing ESS authorizations remain leading
  • Authentication is done via existing security mechanisms
  • Users can only access their own data
  • Conversations are used for quality improvement according to applicable guidelines

Because Say Hai uses AI, answers may sometimes differ from expectations. We recommend encouraging employees to provide feedback so the assistant can be continuously improved.
