Horizontal calculations, also known as employee calculations, are performed across multiple shifts or time periods. This supports organizations in achieving a balanced distribution of resources, identifying potential bottlenecks or surpluses, and making adjustments to optimize overall efficiency.
Horizontal calculations provide insight per employee over a specific period. You can decide what you want to calculate. For example, how many shifts of a certain type have been scheduled or how many hours an employee still needs to be scheduled to meet their contract hours.
Note! The way a horizontal calculation is calculated can have a significant impact on system performance. Balances and calculations based on individual bookings can unnecessarily consume a lot of computation time. Therefore, a best-practice setup has been developed for Dutch Healthcare customers with a Calculation Account. The idea behind this Account is that annual hours, leave, and PLB balances are collected and stored per month once the schedule is approved. This means that the balance, for example in a plan board calculation, for the approved months is based on stored bookings. This makes the calculation process faster, speeding up the opening of a plan board or retrieving an account. Horizontal calculations are therefore stored as much as possible per month. Also, the breakdown between statutory and non-statutory leave is not used in the horizontal calculation for leave. Would you like more information about the Calculation Account? Horizontal calculations are a useful tool for the scheduler. The value of each individual calculation can vary per scheduler. You can provide ORTEC WS with a set of standard calculations.
Examples of such calculations include: weekend shifts, night shifts, remaining working time over the schedule period, and remaining working time until the end of the calendar year.
Setting up horizontal calculations
- Go to General > Plan board settings.

Click the New button in the General employee calculations section if you want to create a general calculation.
- Or: click the New button in the Own employee calculations section if you want to create a calculation for personal use.
- Enter a name for the horizontal calculation and click the OK button; the newly created calculation is now visible.
- Select the calculation and click the Open button; the Calculations window appears.
- Click the New button at the bottom left. Select one of the possible calculations under Type; click the OK button; you can now fill in several items.
- For each individual calculation, select what should be counted per shift.
- Select the period over which the counting should take place.
- Click the OK button; the calculation has been created.

Planning penalty for employee | In this calculation, you can see to what extent the schedule constitutes a load for the individual employee. The load consists of the sum of the weight linked to wishes and/or criteria. For example, if there is a high load, few wishes of the employee have been honored and the employee's schedule does not meet the set criteria (only relevant when using the optimizer). |

Shifts at time | With this calculation, you can count how often an employee was present at a certain time or within a certain time slot. |

Shifts on weekday | With this calculation, you can count how often an employee was present on a certain day or days. |

Shifts with work | This calculation gives the sum of the number of shifts where the activity type is linked to the type ‘work’. |

Min-max calculation | Calculates for employees who have a Min-Max contract the minimum number of hours they must work and the maximum number of hours they are allowed to work. |

Ranking self scheduling points | Shows the ranking of an employee based on their average number of shift points for self-scheduling (only in the self-scheduling module). |

Remaining working hours | Calculates the difference between the number of hours worked and the number of hours the employee is available for the scheduling group. Formula: (contract hours per week : 7) * number of days in the scheduling period. |

Balance of account category |
This calculation shows the balance of a specific account or a category of an account. With this calculation, you can forward all registrations maintained on an ‘account’ to your horizontal calculation. You can use one of the categories listed on an account or choose the ‘all’ option. With this last option, you forward the balance of all categories to your calculation. Examples: the balance of the Leave account, the balance of the Annual Hours account. Note! can have a major impact on system performance. |
